Billing Representative
• Post all charges and collections for inpatient/outpatient servicesPre-certify appropriate patient surgeries
• Data entry for super-bills (charges, collections, co-pays, payments)
• Posting of payments (mail and up-front)
• Process refunds and adjustments
• Correct accounts posted incorrectly
• Answer calls from patients and insurance companies concerning billing questions
• Process requests/forms from mail for additional documentation
• Send appeals to insurance companies for denied or incorrect payments
• Field lawyers calls and process requests/fees
• Perform daily follow-up on unpaid patient accounts (larger balances first)
• Run/process insurance forms with applicable documentation (daily)
• Perform daily financial closing and print reports
• Print month-end closing reports
• Monthly run/process patient account balance billing statements monthly
• Segregate account to be sent to collection agency
• Monitor collection agency success in capturing cold patient balances
• Update fee schedule yearly
• Maintain computerized billing and scheduling system
• All other duties as needed
Ophthalmic Technician
• Maintain, clean and stock all exam rooms
• Clean and maintain all instruments
• Prepare patients for examination
• Take patient history, visual acuity, and glaucoma tests
• Take dictation and document medical information while physical is examining patient
• Write out necessary prescriptions
• Fill out fee slips with proper diagnosis and charges
• Administer drops and give injections under physician supervision
• Collect and calculate diagnostic data: K readings, refraction, VF's, PAM, Meds, etc...
• Assist physician in minor office surgery
• Instruct, deliver, and order contact lenses
• Return and answer patient phone calls
• When help is needed at front desk, answer phones and make appointments
• Inform management of stock shortages and lost or broken equipment
• Help out other technicians and doctors when able
• Keep all testing equipment clean and stocked (paper, ink etc...)
• All other duties as needed
• Job summary
• Assist physician with patient examinations and treatment, responsible for patient histories, routine diagnostic procedures, as well as, some clerical duties
Front Desk/Receptionist
• Greet patients in a friendly and polite manner upon their arrival
• Direct patients to register their arrival on sign-in sheet
• Distribute appropriate registration paperwork to patients
• Review documentation and assist patient with completion of forms
• Copy insurance cards (front and back)
• Answer and direct phone calls appropriately
• Take phones off service and return calls as needed
• Take messages for and distribute to the appropriate parties
• Clean-up/organize waiting room during office hours (if needed)
• Schedule patient appointments and call to reschedule "no-show" patients
• Register new patient demographics in the computer
• Verify/update existing demographic records for patients
• Hand out patient surveys (Quarterly)
• Collect/record co-payments and prior balances owed to practice
• Discharge patients from present appointment and perform required follow-up services
• Provide patients with needed paperwork when leaving
• Print daily appointments schedule and super-bill
• Call to confirm patient appointments for next day and inform patients of prior balances
• Distribute faxes
• File paperwork in charts and file charts
• All other duties as needed
Surgical Coordinator
• Conduct a private interview with the patient and family to schedule surgery and any necessary pre-operative testing and post-operative visits
• Educate our patients as to the necessary requirements for surgery, coordinate their appointments, and give patient necessary information that pertains to surgery
• Order Corneal tissue as needed for surgery (CMC and JSC)
• Go over surgery schedules and scans with doctors prior to surgery
• Authorize surgeries as required by insurance companies (OSC, HE, CMC)
• Confirm pre-op appointments
• Call patients regarding insurance payments, deductibles/co-pays
• Coordinate CMC and Lasik surgeries
• Make patient folders: Cataracts, Plastics, Glaucoma, Lasik and Cornea
• Scan photos into patient medical record for Dr. Lautenberg
• Perform other projects as assigned by Administrator.
• The surgical coordinator ascertains that the patients:
- Insurance/billing information is current.
- Coordinates any outside appointments necessary prior to surgery (e.g., physical & history, lab testing)
- Schedule scans/tests prior to surgery
- Coordinates any transportation necessary
- Is available for patient family inquiries
- Provides preoperative and postoperative instructions
- Any other arrangements necessary to alleviate any patient anxiety
- Whenever possible, if surgery is done at hospital surgical coordinator should act as liaison at hospital on surgery day
- Secures signed consent forms
- Provides surgical schedules and postoperative summaries to billing personnel for claims processing
